Florina Flowers («we», «us», «our») is a wedding and event florist based in London, United Kingdom. These Terms and Conditions («Terms») apply to all floral design services, hire items, and related services provided by Florina Flowers or associated trading companies) to the client who places the booking («you», «your», «Client»).

By confirming your booking, approving a proposal, and/or paying the booking fee, you agree to be bound by these Terms in full.

1. Booking & Payment 1.1 Booking Fee

A non-refundable booking fee of twenty-five percent (25%) of the total invoice is required to secure your wedding or event date. No date is reserved until the booking fee has been received and cleared.

1.2 Payment Schedule

The remaining seventy-five percent (75%) balance is due no later than six (6) weeks prior to the event date. Failure to make payment by the due date may result in cancellation of services, with no guarantee of reinstatement. Any reinstatement of services is at our sole discretion, dependent on our availability and may be subject to a reinstatement fee and revised quotation as prices for flowers and labour vary.

1.3 Price Validity & Flower Market Fluctuations

All quotations are valid for fourteen (14) days from the issue date. Flower prices are subject to seasonal availability and market conditions. In the event of significant cost increases beyond our reasonable control, we reserve the right to revise your quote. Any changes will be discussed and agreed with you in advance where possible.

2. Floral Designs, Creative Process & Substitutions 2.1 Seasonal Availability & Substitutions

Flowers are natural and seasonal products. While every effort is made to source specific varieties, substitutions may be required due to seasonality, weather conditions, supply shortages, industrial action, or quality concerns. Any substitutions will: Reflect the agreed colour palette and design style, Maintain the overall aesthetic and design intent, Be of equal or greater value

Substitutions do not constitute grounds for refunds or discounts.

2.2 Artistic Interpretation & Creative Control

By booking Florina Flowers, you place trust in our professional expertise and artistic judgement. Exact replication of inspiration images, specific flower varieties, shades, or placements cannot be guaranteed. We reserve the right to make minor design adjustments on the event day to achieve the best overall visual outcome.

3. Delivery, Installation & Access 3.1 Delivery & Set-Up Fees

Delivery and installation fees vary depending on event size, timing, venue access, congestion charges, parking restrictions, and labour requirements. Early-morning, late-night, or multi-location deliveries may incur additional charges.

3.2 Venue Access & Client Obligations

The Client must provide accurate delivery details, venue access times, loading instructions, and a reliable on-the-day contact. Florina Flowers shall not be responsible for delays or incomplete installation resulting from restricted access, inaccurate information, or venue-related issues.

3.3 Completion of Service

Our service is deemed complete once floral arrangements and hire items have been delivered and installed as agreed. Responsibility for the arrangements passes to the Client or venue thereafter.

4. Amendments & Final Details 

4.1 Changes to Orders

Once a booking is confirmed, the total invoice value may only be reduced by a maximum of ten percent (10%).

Additional items or services may be added up to two (2) weeks prior to the event date. In certain circumstances, and subject to availability, additions or changes may be accepted with a minimum of one (1) weeks’ notice.

All additions or changes will be quoted accordingly and must be paid in full immediately upon confirmation, unless otherwise agreed in writing.

4.2 Final Review

A final consultation or written confirmation will take place approximately six (6) to eight (8) weeks prior to the event date to reconfirm quantities, designs and logistical arrangements. Details confirmed at this stage will be deemed final unless otherwise agreed in writing.

5. Cancellations & Postponements

5.1 Cancellation by the Client

The booking fee is non-refundable under all circumstances. Cancellations made within eight (8) weeks of the event date require payment of the full outstanding balance due to advance ordering and preparation.

5.2 Postponements

Postponements are subject to availability. If Florina Flowers is unavailable for the rescheduled date, the booking will be treated as a cancellation and standard cancellation terms will apply.

5.3 Cancellation Due to Unforeseen Circumstances

In the event of serious illness, emergency, or circumstances beyond our reasonable control, Florina Flowers reserves the right to appoint a trusted replacement florist from within our team or professional network to fulfil the booking.

Our liability in such circumstances is strictly limited to the total amount paid by the Client. 6. Hire & Rental Items

6.1 Ownership

All hire items, including but not limited to vases, stands, arches, urns, pedestals, candles, vessels, and structures («Rental Items»), remain the sole property of Florina Flowers at all times.

6.2 Rental Period

The rental period covers the duration of the event as stated in your invoice. Rental Items must be available for collection at the agreed time and location. Delays may incur additional charges.

6.3 Care & Use

Rental Items are for decorative purposes only and must not be moved, altered, filled, or used for any purpose other than intended. The Client is responsible for any loss or damage beyond fair wear and tear caused by guests, venue staff, or third-party suppliers.

6.4 Damage or Loss

Any Rental Items that are lost, stolen, destroyed, or damaged beyond economic repair will be charged at their current full replacement cost. Items damaged but repairable will be charged at the reasonable cost of repair. Any Rental Items that are lost, damaged, or not returned will be charged at full replacement cost. Payment must be made within seven (7) days of notification.

6.5 Substitutions of Rental Items

In rare circumstances of damage or unavailability, Florina Flowers reserves the right to substitute Rental Items with suitable alternatives of equal value and style.

6.6 Delivery & Collection

Florina Flowers will deliver and collect all Rental Items as part of the agreed installation and breakdown, unless otherwise agreed in writing. Additional fees may apply where collection is delayed due to venue restrictions or Client-related issues.

7. Photography & Marketing

Florina Flowers reserves the right to photograph completed floral designs for portfolio, marketing, website, and social media use, unless otherwise agreed in writing.

8. Liability & Force Majeure

8.1 Flower Longevity

Flower longevity cannot be guaranteed once delivered, particularly where arrangements are exposed to heat, sunlight, wind, or excessive handling. No refunds will be issued for natural deterioration.

8.2 Force Majeure

Florina Flowers shall not be liable for any failure or delay in performance resulting from events beyond our reasonable control, including but not limited to extreme weather, pandemics, strikes, supplier failures, or government restrictions.

8.3 Limitation of Liability

Subject to exclusions not permitted by law, our total liability to you, whether in contract, tort (including negligence), breach of statutory duty, or otherwise, shall be limited to 100% of the Total Invoice Value.

9. Data Protection

We will process your personal data in accordance with our privacy policy, a copy of which is available on request, and in compliance with UK data protection legislation. Your data will be used solely for the purposes of administering and fulfilling this contract.

10. Client Responsibilities

The Client agrees to: Provide accurate and timely information, Obtain all necessary venue permissions, Approve designs, quantities, and logistics within agreed timeframes

11. Governing Law

These Terms are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the English courts.

12. Entire Agreement

This document, together with the final approved proposal, constitutes the entire agreement between the parties and supersedes all prior discussions, correspondence, representations, and agreements. 

13. Acceptance of Terms

By confirming your booking, paying the booking fee, or approving your proposal, you confirm that you have read, understood, and agreed to these Terms and Conditions in full.
